ISSUE AI MVDC CANCELLATION WARNING

 

Purposes:

 

This screen allows MIMS Users to record on MIMS that an AI Warning Letter was issued about a pending MVD Cancellation.

 

1.        MIMS user must have applicable security authorization to view files.

            The following groups have access to this panel:

 

·         Call Center Agents

·         Collection Agents (RGPU, File Intervention)

·         Compliance Agents (Compliance 4, Compliance 5)

·         Collections Support Agents (confirmation only)

·         MEP Senior Management

·         ISO Agents

·         SIU Agents

·         System Administrators

 

Helpful Hints:

·         The MVD Cancellation occurrence must be at the MEP Warning state.

·         The MEP warning must be at least 21 days in the past.

A.     Initial Request for AI Warning
  1. Select the ‘Collection’ tab.
  2. Select ‘Collection Tool History’ from the menu on the left.
  3. On screen S85 Collection Tool History, enter the desired MEP file number into the field labeled ‘File Number’
  4. Click the ‘Get’ button to retrieve the file.
  5. Click on the MVDC hyperlink in the Tool column.
  6. Under Status, click the radio button for option ‘Request AI Warning’.
  7. Enter the ‘Scheduled Cancellation Date’ in the field provided or leave the system’s default setting, which is set to 25 days in the future.
  8. Click the ‘Save’ button to submit the request for an AI Warning. The system will return you to the ‘S85 Collection Tool History’ screen where the MVDC tool displays ‘AI Warned’.
  9. The system generates a work request entry to the MVDC approver (Compliance 4 Team Lead/Manager).

 

Reschedule

If the user does not want to send the AI Warning letter immediately the user may reschedule by replacing Steps 6 to 9 with:

6.                   Select the radio button for ‘Reschedule’.

7.                   Enter a bring-forward date.

8.                   Click the ‘Save’ button to create work task for the bring-forward date.

9.                   The user will be returned to screen S85 Collection Tool History.

 

Remarks Only

If the user only wants to add or update remarks by replacing Steps 6 to 9:

6.                   Select the radio button ‘Remarks Only’.

7.                   Enter comments in the “Additional Remarks’ field.

8.                   Click the ‘Save’ button.

9.                   The user will be returned to screen S85 Collection History.

 

Abandon

The entire MVDC process can be abandoned, ending the tool life cycle and making the current MVDC not editable. If the user wants to abandoned the MVDC tool replace Steps 6 to 9:

10.               Select the radio button ‘Abandon’.

11.               Click the ‘Save’ button.

12.               The user will be returned to screen S85 Collection History.

 

S79 MVD Cancellation – Updates (Initial AI Warning Request)

 

          Screen Label

Description/Instructions

File Number

The file number selected on the previous panel appears.  If this is not the file you require, enter a specific MEP File Number and click the ‘Get’ button.

File Status

Displays file status of either: Active, Closed or Incomplete.

Primary Creditor

This is the creditor, who is named as the original creditor with MEP at the time of registration.  Displays formatted name with the party number in brackets

Debtor

The debtor is the party directed to make payments to a creditor by a court order or agreement.  Displays formatted name with the party number in brackets.

Icon to identify if party exists on multiple files.

If any parties on the file are related to more than one file then the “Multi File” icon is displayed

Alerts

“More Alerts” hyperlink can be selected to view currently active alerts.

Compliance Level

The Collection Progression defines the compliance level on every file from 0-7.  MIMS automatically assigns these, but it is possible to manually manipulate levels on Screen S84 Change Compliance.

Provisional File

These are uniquely numbered files created to track and manage transmission of Provisional Orders, which are granted in one Jurisdiction that must be confirmed in another Jurisdiction.


 

 

INITIAL AI Warning Request
Update

Request A1 Warning

Select radio button to generate a work request entry to the MVDC approver. (Compliance 4 Team Lead/Manager)  A Schedule Cancellation is mandatory.

Schedule Cancellation Date

Is required when status is set to ‘Request AI Warning’.

Must be at least 25 days in the future.

Cannot be after the expiry date.

Format YYYYMMDD, where Y = year, M = Month and D = Day.

Abandon

Select radio button to end the tool life cycle and make the current MVDC not editable

Reschedule

Select radio button if you don’t want to send the AI Warning letter immediately.  A bring-forward date is mandatory.

Remarks Only

Select radio button if only additional remarks are required for the MVDC tool.

Additional Remarks

Enter your comments regarding the update of the MVDC.

 

Mandatory if status selected is ‘Reschedule’, ‘Abandon’ or ‘Remarks Only’.

 

Maximum length of 200 characters.

Click this button to update the MVDC.

Click this button to return to S85 Collection Tool History screen.

Initial Restriction Request Date

Displays the date in which the MVDC was requested.  Display date in YYYY-MM-DD format, where Y = Year, M = Month and D = Day.

 Request Date User

Displays the MIMS User name that requested/confirmed MVDC.

Confirmed Date

Displays the date the initial restriction was confirmed.

Confirmed Date User

Displays the MIMS User name that confirmed the initial restriction.

MVD ID

Displays the debtor’s MVD ID number.

Operator ID

Displays the debtor’s Operator ID number.

MEP Warning

Displays the date in which the MEP Warning was issued.

Display date in YYYY-MM-DD format, where Y = Year, M = Month and D = Day.

MEP Warning User

Displays the MIMS User name that issued the warning.

Bring Forward Date

Displays the date the reschedule of the MVDC tool was issued.

Display date in YYYY-MM-DD format, where Y = Year, M = Month and D = Day..

Bring Forward Date User

Displays the MIMS user name that issued the rescheduling.

Remarks

Displays the MIMS User name and date that added the remarks, along with the comments.

B.     Approve AI Warning (Compliance 4 Team Lead/Manager)

The MVDC entry requiring approval can be accessed via a link from the worklist screen for MVDC approvals.  Once the hyperlink is selected the user is automatically taken to the MVDC Collection Tool, or from the S85 Collection Tool History screen, by doing the following:

1.       On the S85 Collection Tool History screen enter the desired MEP file number into the field labeled ‘File Number’ and then click the ‘Get’ button to retrieve the file.

2.       Click on the MVDC hyperlink in the Tool column

3.       Select the appropriate approval status:

·         Select ‘Approve’ if you wish to confirm the AI Warning request. Enter the ‘Scheduled Cancellation Date’ in the field provided or leave the system’s default setting, which is set to 25 days in the future.

·         Select ‘Deny’ if you wish to cancel the AI Warning request. Comments are mandatory in the field box labeled ‘Additional Remarks’.  The tool will remain active.

·         Select ‘Remarks Only’ if you wish to only add comments to the file. Ensure these comments are entered in the field box labeled ‘Additional Remarks’

4.      Click the ‘Save’ button to submit your approval.  The system will return you to ‘S85 Collection Tool History’ screen with the MVDC tool updated.

5.      The system creates a work request to collections support staff.

 

S79 MVD Cancellation – Updates (Approve AI Warning)

C.     AI Warning Confirmation (Collection Support)

The MVDC entry can be accessed via a link from the S101 worklist screen, which takes you immediately to step 3.  Or from the S85 Collection Tool History screen, step 1.

1.       Enter the desired MEP file number into the field labeled ‘File Number’ and then click the ‘Get’ button to retrieve the file.

2.       Click on the MVDC hyperlink in the Tool column

3.       Select the appropriate confirmation status:

·         Select ‘Confirm’ if you wish to confirm the AI Warning. Enter the ‘Scheduled Cancellation Date’ in the field provided or leave the system’s default setting, which is set to 25 days in the future.

·         Select ‘Abandon’ if you wish to abandon the AI Warning. Comments are mandatory in the field box labeled ‘Additional Remarks’.

·        Select ‘Remarks Only’ if you wish to only add comments to the file. Ensure these comments are entered in the field box labeled ‘Additional Remarks’.

4.      Click the ‘Save’ button to submit your confirmation.  The system will return you to ‘S85 Collection Tool History’ screen with the MVDC tool updated.

Select the radio button if you wish to abandon sending the MVD Warning to the debtor.  Then enter reason for Abandon in the ‘Additional Remarks’ field.

Status: REMARKS ONLY

Select the radio button if you wish to only add comments about the confirmation of the MVD to the file.

Enter your comments regarding the confirmation of the MVDC.

Date cannot be in the past or after the expiry date of the MVDC A1 Warning.

·         Select ‘Remarks Only’ if you wish to add only comments regarding the cancellation. Comments are mandatory in the field box labeled ‘Additional Remarks’.

3.        Click the ‘Save’ button to submit the approval of the MVD license cancellation. The system will return you to the ‘Collection Tool History’ screen where the MVDC tool displays ‘AI Warned’.

4.        The system generates a work request entry to the MVDC confirmation (Collections Support Agent).

REMOVE MVD CANCELLATION/RESTRICTION

 

Purposes:

 

This screen allows MIMS Users to remove the MVD cancellation and adjust the restriction for a debtor.

 

1.       MIMS user must have applicable security authorization to view files.

            The following groups have access to this panel:

 

·         Call Center Agent

·         Collection Agents (RGPU, File Intervention)

·         Compliance Agent (Compliance 4, Compliance 5)

·         Collections Support Agent (confirmation only)

·         MEP Senior Management

·         ISO Agent

·         SIU Agent

·         System Administrator

A.     Request Removal

1.        Enter the desired MEP file number into the field labeled ‘File Number’ and then click the ‘Get’ button to retrieve the file.

2.        Select the status option ‘Request Removal’ if you wish to request the removal of the MVD cancellation. (If you wish to only add remarks, simply select ‘Remarks Only’ and enter your comments into the field box labeled ‘Additional Remarks’ and click ‘Save’.)

3.        You must select the appropriate restriction option:

·         If ‘Partial Release’ is selected, ensure that one of the available conditions (‘With Payments’, ‘Without Payments’, ‘Other’) is also selected.

·         If ‘Full Release’ is selected the debtor’s cancelled MVD license will be reinstated (upon confirmation).

4.        Check the unmarked box labeled ‘Send Documents’ if you wish to send documentation to the debtor.

5.        Click the ‘Save’ button to submit the request for the removal of the MVD cancellation.

6.        The system generates a work request entry to the MVDC confirmer (Collection Support Agent).

Date – displays the date in which the MEP Warning was issued.

 

User – displays the MIMS User name that issued the warning.

AI Warning

Date – displays the date in which the AI Warning was issued.

 

User – displays the MIMS User name that issued the AI Warning.

 

Scheduled Cancellation Date – displays the scheduled cancellation date.

Date – displays the date in which the MVD license was cancelled.

 

User – displays the MIMS User name that confirmed the MVD cancellation.

Request Date – displays the date in which the MVDC was updated.

B.     Confirm Request for Removal of MVDC

1.        Enter the desired MEP file number into the field labeled ‘File Number’ and then click the ‘Get’ button to retrieve the file.

2.        Select the confirmation status option:

·         Select ‘Removed’ if you wish to confirm the removal of the MVD cancellation.

·         Select ‘Abandon’ if you wish to abandon the confirmation of the MVD cancellation.

·         Select ‘Remarks Only’ if you wish to make comments regarding the request for MVD cancellation removal. Comments are mandatory in the field box labeled ‘Additional Remarks’.

3.        Click the ‘Save’ button to submit the confirmation of the MVD cancellation removal.

4.        If ‘Removed’ is selected, then the system will generate correspondence to the debtor (L50 - L50 – Reinstatement of Operators License).
